Debt Chasing

IMPORTANT: Overdue Sales Invoices are to be chased weekly
  • Select Sales.
  • Click Sales Invoices.
  • Click on the Current Sales Invoices tab.
  • Clear the Status, Balance Due and Days Overdue filters by clicking the box to the left of the 2 up arrows.

  • Click the boxes to tick Status tab Posted,  Balance due tab Due, and Days Overdue tab <30, 30+, 60+.

  • Click the blue Download button.
  • Click Open file.
  • Click Enable Editing.
  • Select Data on the toolbar.
  • Click the Filter funnel.  This adds filter arrows next to each column title.

  • Click the down arrow under the lead source column
  • Click sort A-Z.

  • Delete the following rows as they do not need to be chased:-
    • Zen Microsystems (Indian Accounts)
    • WWW (Webstore orders)
  • Click the down arrow under the Company Column.
  • Click sort A-Z.

  • Delete the following companies, these are dealt with separately:-
    • Archiact Tech
    • Cambertronics
    • M-Tech
    • Racelogic GmbH
    • VBox Japan (individual statement sent)
    • Zeer
    • Zen
    • Zen Comm
    • Zen Puchase
IMPORTANT: Once you have filtered out the companies from the spreadsheet you have a list of debtors to chase.
  • Look up each company in Unity
    • Click on Sales.
    • Select Customers.
    • Click on the Customers tab.
    • Type the Company Name in the Company box.
IMPORTANT: If an account is due and terms are CO - Payment with order - do not chase as this means the Customer payment is till processing through. Delete from the spreadsheet.
  • For Customer Accounts with 30-Net 30 days click on QB Open invoices. You can then see overdue invoices.

IMPORTANT: If an account does have an overdue date a statement will need to be sent to them by email.
  • Click the blue Email Open Invoices button.

  • Click in the Email box to select the correct recipient.
  • Click Submit You can click cancel to check email addresses on the Customer Account if necessary.

IMPORTANT: Once submitted return to the Home tab and you will see in the audit trail that a statement has been sent.

  • Work through the spreadsheet, deleting rows as you go until the spreadsheet is empty.
